SHIPPING INFORMATION
Where do I ship my exhibit items?

Materials should be sent through the Shipping Department. See instructions for labeling, delivery, and fees.

All packages must be labeled exactly as listed below. If they are not labeled correctly, your package may be lost or delayed. The Hotel is not responsible for packages that are labeled incorrectly.

Do not list the word “guest” if the package is going to be delivered to the event space. Do not request your packages through the front desk unless you want them delivered to your guest room or you will be taking them to the banquet space on your own. The Bell Team does not handle package deliveries to the banquet space. If you do request your packages through the Front Desk, they will be delivered to your guest room and additional fees will apply from the Bell Team.

When can I ship my exhibit items?
The hotel will receive a group’s packages no more than 3 days prior to the event. If packages arrive at the hotel more than 3 days out from the event, the hotel will have the right to refuse delivery.

Delivery of your packages to the meeting space can be arranged with the on-floor Event Service Managers or Banquet Team upon your request.

How do I send an outgoing shipment?
The hotel will offer complimentary outgoing shipments.

All packages must be labeled with a pre-paid label.

All packages must be properly sealed and ready to go out with a carrier.

The exhibitor is responsible for calling the carrier to schedule a specific pickup time. The hotel will not be responsible for scheduling pickups.

All packages will be delivered to the Hotel’s dock within 1-2 business days of the program’s end and will be available for pick up by all regularly scheduled carriers (FedEx, UPS, USPS).
The hotel will not be held responsible for the status of any outgoing shipments.

EXHIBIT HALL INFORMATION
How do I order electricity/AV for my exhibit space?

You can use this link to order electrical, internet or AV equipment from the hotel. Just search “PSHRA” and the event will pop up. https://eventnow.encoreglobal.com/

Is WiFi internet provided for the conference?
Complimentary standard wireless internet is available in the meeting spaces. For additional needs, please see the link above under electricity/AV.

Do I need a Certificate of Insurance (COI)?
A certificate of insurance is not required.


Can I sell items in my space?
Selling is strictly forbidden at the PSHRA Annual Conference. Any exhibitors found to be selling items directly to attendees may be immediately removed.

Can I serve food and/or beverages in my exhibit space?
Yes, you may serve food and beverage, however it must be ordered through the Hilton Cleveland Downtown. To order food and beverage contact Kristen Kilbane at kristen.kilbane@hilton.com. All orders must be received no later than August 28th with full payment received by September 15th.

If I have a 3rd party labor team that comes in to set up and tear down our booth, am I required to fill out an EAC (Exhibitor Appointed Contractor) form?
No, this is not a requirement.

Is the hall carpeted?
Yes, all the spaces are carpeted.

ATTENDEE  INFORMATION
Can I purchase an attendee registration list?

PSHRA does not sell or share the attendee registration list.


Is lead retrieval available for purchase?
Lead retrieval will be available through the PSHRA mobile app. Additional details to follow at a later date.
