General Information

Refund Schedule and Fees

  • Early Cancellation (through October 31, 2025):

    • Cancellations received before 11:59 AM CT on October 31, 2025, will be subject to a $25 processing fee.
    • The remaining registration amount will be refunded to the original payment method.
  • Late Cancellation (November 1 - December 1, 2025):

    • Cancellations received between November 1, 2025, and 11:59 PM CT on December 1, 2025, will be subject to a $90 cancellation fee.
    • The remaining registration amount will be refunded to the original payment method.
  • After December 1, 2025:

    • No refunds will be issued for cancellations after 11:59 PM CT on December 1, 2025, except in cases of extenuating circumstances. By December 1, the Fraternity will confirm meals with the hotel and will be responsible for the costs associated with each attendee, therefore refunds cannot be provided after this date without clear cause.

Extenuating Circumstances

Refund requests after December 1, 2025, will only be considered in cases of extenuating circumstances, such as:

  • Inclement weather preventing travel
  • Medical emergencies
  • Other unforeseen events beyond the registrant's control

Requesting a Refund After December 1

To request a refund after December 1, 2025:

  1. Submit your request in writing to the National Executive Director
    1. Clearly outline the extenuating circumstances necessitating the cancellation.
    2. Include your full name and initiating chapter.
  2. Submit all documentation by January 30, 2026.

All extenuating circumstance refund requests will be reviewed on a case-by-case basis, and the decision of the National Executive Director is final.

All registration will be handled online prior to the start of the 2025 National Convention. Please reach out to registration@apo.org if something is preventing you from registering online so an event team member can assist.

Registration closed on November 26, 2025; therefore, new registrations cannot be added for this event.


Dressing professionally enhances networking opportunities, fosters a sense of unity among participants, and contributes to a positive overall experience for everyone. We encourage Convention attendees to dress in business-casual attire. This can include dress pants or khakis paired with a button-down shirt or a polo shirt, blouse, sweater, or cardigan. Comfortable shoes are important  there is a lot of walking, and it will be cold! 

For the Celebration Banquet on December 30 and the birthday festivities that follow, we invite attendees to dress up for this once-in-a-lifetime celebration! Black tie optional attire is preferred for this event. However, there is no dress requirement - all are welcome regardless of what you choose to wear. We're most excited to have you join us for this special occasion!


When you arrive at the Philadelphia Marriott Downtown, please check-in with the hotel, drop off your luggage and settle in, and then head to the fifth of the hotel to the Fraternity’s registration - Salon BC. This is where you will get your name badge (which needs to be worn at all times), sign up for service opportunities, pause for a photo op and connect with new brothers and reunite with old friends! Once you are done getting your badge and connecting with others, stop by Salon D to take a walk through APO history!

Convention registration will open at 6 PM on December 26 and 8:30 AM on December 27. If you are arriving after December 27, visit the Fraternity’s Registration Desk on the fifth floor - Registration 1.

Lodging & Transportation

The Philadelphia Marriott Downtown is the ideal hotel to host the 100th Birthday and 2025 National Convention of Alpha Phi Omega. Located in the heart of Philadelphia, it offers easy access to popular attractions and keeps members on-site to make the most out of the event.


The hotel reservation deadline was November 26, 2025.

Philadelphia Marriott Downtown is a short 10-mile trip from the airport or you can arrive by car, bus, train or subway. However you get here, you’ll be welcomed with open arms and warm Philly hospitality!

Attendees of the 2025 National Convention will need to coordinate their hotel reservation as it is not included in the event registration packages.

Yes! From a step-free hotel entrance and common areas, accessible rooms, wide doorways and more, the Philadelphia Marriott Downtown is prepared to make your stay welcome.


Lodging-specific accommodations should be coordinated directly with the Philadelphia Marriott Downtown. Event specific accommodations should be provided within your event registration details.


Legislative Session

To put in a request to provide testimony to a reference committee regarding one of the pieces of legislation that has been proposed, please email executive.director@apo.org to request a 10-minute virtual meeting. Reference Committee reports are due to the Legislative Director by 8:30 AM CT on December 1.


Voting delegates (VD) represent their chapter on the legislative floor, which is the business meeting of the Fraternity. Each chapter is expected to send two voting delegates to speak on behalf of the chapter and cast votes on each piece of legislation that is submitted to the Convention.

Alternatively, non-voting delegates are student attendees who are representing their chapter at the event; however they do not have responsibilities during the Legislative Session.
