Q: What is included in the cost of my booth?

Q: Is carpet required in my booth?
A: Yes, all booths must have carpet or appropriate flooring. Service order forms for carpeting can be found in the exhibitor service kit.
Q: How many badges do I get with my booth?
A: Each exhibitor receives four complimentary exhibit staff badges per 10x10 booth (100 sq.ft.).
Q: Can exhibitors attend sessions?
A: Exhibitor badges can access only programming starting with S, N, PL, SP, P, LS, or H. Exhibitor badges do not include access to programming starting with C, $, or any other designation not listed above - full registration must be purchased to access these programs, or to claim any CME.
Q: Are meeting rooms available at the convention center?
A: A limited number of Premium Meeting Suites are available in the convention center, these suites are exclusive to IRT members. Exhibit hall meeting suites, conveniently located on the exhibit hall floor are a great opportunity for your team to connect with key leaders in a private, one-on-one or group setting.
Q: Where do I ship my booth materials?
A: Shipping information for the advance warehouse or direct to show site can be found in the exhibitor service kit. We highly recommend materials be sent to the advance warehouse.
Q: How do I get an attendee list?
A:The attendee list is only available to exhibitors and can be purchased through the sponsorship form. Please be cautious of scammers that will send out fake attendee list offerings. Any communications regarding the attendee list will come from an AAN email address.
Q: How do I reserve a hotel room?
A: You can reserve a hotel room through our partners at CMR on the Annual Meeting Housing website
CMR and AAN International Group Housing (IGH) are the only official housing providers for the AAN Annual Meeting. Scammers generally request full payment for hotel stays, while CMR only requests a credit card guarantee for a one-night room and tax deposit for individual stays. If you have not booked through the official block, the AAN cannot help you resolve issues with the hotel.
Q: How do I order furniture or electrical services?
A: Service order forms for all booth services are included in the exhibitor service kit.
Q: Is Wi-Fi free in the convention center?
A: Complimentary Wi-Fi is available in meeting rooms and public spaces only. Service order forms for in-booth internet connectivity can be found in the exhibitor service kit.
Q: Can I set up my booth or do I have to use labor?
A: An Exhibitor Employee may perform work in a booth of any size. They can work within the booth using their own ladders or hand tools, cordless tools, power tools and other tools designated by McCormick Place. An exhibitor and exhibitor employees are prohibited, at all times, from using scooters, forklifts, genie lifts, pallet jacks, condors, scaffolding, scissor lifts, motorized dollies, or similar motorized or hydraulic equipment on Authority premises. Q: Is lunch included in my booth fee?
A: Lunch is not provided for exhibitors.
Q: How early can exhibitors enter the exhibit hall?
A: Exhibitors can access the hall starting at 9:30am each day and can remain in the hall until 6:00pm.
Q: Can exhibitors use the AAN name and logo in their marketing materials?
A: Exhibitions, marketing materials, sponsorship promotions, and any other non-AAN communications must not state or imply an endorsement by the American Academy of Neurology or the 2026 AAN Annual Meeting event or misuse the AAN or the AAN Annual Meeting logo.
Q: Are children allowed on the show floor?
A: Children are not permitted in the Exhibit Hall during setup and teardown. Children under the age of 12 must be accompanied by an adult during Exhibit Hall hours.
Q: Can I set up my booth on Sunday morning?
A: No, all booths must be completely set up by 4:30 p.m. on Saturday, April 18.
