What’s Included with Each Booth Space?
- Representative registrations outlined in the pricing chart above with the ability to purchase additional registrations up to the specified maximum.
- Listing in Exhibitor Directory which will be featured on the event website and in the mobile app
- Pre-show registration list including name, title, organization and mailing address (distributed on March 9, 2026)
- Standard 8’ high pipe and drape back wall with 3’ high draped side walls
- One 6’ x 30” draped table and two side chairs per 10’ x 10’ space
- A one-line sign booth ID sign
Note: The exhibit hall has existing carpet. Exhibitors may order flooring through the Exhibitor Service Kit if desired.
Exhibitor Representatives Registration
Rates for additional representatives (in addition to those included in your booth package, see Booth Rates and Details section above):
- $795 - on or before March 6, 2026
- $995 - onsite rate
After your booth registration has been confirmed, you will register your booth representatives in the Exhibit Service Center.
Exhibitor registrations include admittance to all educational sessions, the Monday evening reception, and the Tuesday evening party. They also include all provided meals and refreshments. Any additional people who plan to be at your company’s booth must be included in your representative limit. This includes photographers, caricature artists, etc.
Companies that provide products and services to the physician and provider recruitment industry must purchase an exhibit booth to participate in the AAPPR Conference. Employees of vendor companies must be registered as exhibitor representatives; they are not eligible to register as conference attendees. Any person, firm or organization that hasn’t purchased an exhibit booth will not be permitted to display or demonstrate any products, processes, services or solicit orders.
No refunds will be provided for representative registrations, but the registration may be transferred to a different person. Substitutions for single days, half days or less time will not be allowed.

Lead Retrieval System
AAPPR is offering a lead retrieval system for the conference. The fee is $150 per company and includes an unlimited number of profiles for booth personnel. The system offers you the ability to:
- Use an app on your mobile device to scan QR codes on attendee badges (or from their profile on their mobile app) and capture their information
- Pre-program custom fields to be populated by your booth personnel
- Easily sort, qualify, export, download and share lead information

Our conference visual theme, "Making Magic in Healthcare," offers a sophisticated yet playful aesthetic to honor the transformative achievements of our community. Drawing inspiration from Disney’s magical storytelling, our design subtly weaves in sparkle and whimsical flair through twinkling accents, magical dust effects, and artful illustrations of healthcare professionals. This enchanting visual identity reinforces our mission of advancing connections and spotlights how AAPPR members work wonders—overcoming challenges and creating lasting impact in healthcare recruitment and talent management. AAPPR is thrilled to announce the launch of our Exhibitor Booth Award Program at this year’s annual conference, designed to spotlight creativity, engagement, and excellence on our show floor!
2026 Booth Award Categories
- Best in Show - Inline Booth (200 square feet or less)
Celebrating outstanding creativity, branding, and attendee engagement in a compact booth space. Judged for maximum impact and design excellence with limited square footage.
- Best in Show - Island Booth (400 square feet or more)
Honoring exceptional use of large exhibit space, from bold layouts to memorable interactive experiences. Recognizes booths that truly stand out in high-traffic, multi-sided locations.
- Best Swag Giveaways
Awarded for the most memorable, creative, and useful attendee giveaways. This category highlights exhibitors whose swag leaves a lasting impression with conference participants.
- Most Engaging Booth Staff
Acknowledging booth teams who go above and beyond to interact with attendees—offering expert knowledge, enthusiasm, and friendly service throughout the event.
Winners in each category will be selected by a volunteer committee of AAPPR members and announced over the PA in the exhibit hall on Tuesday, April 14 at 2:30 PM. Our team will then lead a celebration walk to each winning booth, presenting the award onsite—so you can display your accomplishment for the remainder of the conference!
A professional photographer will capture a team photo of each winner at their booth with the award. Plus, AAPPR will provide special recognition for each category winner across our social media channels.
