NCA 112th Annual Convention
Move/ments in Communication
A set of rules and regulations govern all exhibits, displays, and presentations in connection with the NCA Annual Convention. Exhibitors are responsible for ensuring that all booth staff, representatives, and contractors are informed of and comply with all NCA exhibit rules and regulations, as well as all applicable New Orleans Marriott facility policies. The exhibiting organization is accountable for the conduct of all individuals operating within their assigned booth space.
Exhibitors must follow the rules and regulations set forth in this contract, or NCA may exercise any rights or remedies — including terminating this contract and rejecting future exhibit requests. The floor plan contains all booth dimensions, which are accurate to the best of NCA's knowledge. NCA assumes no responsibility for such measurements; however, all plans are subject to Fire Marshal approval.
Logistics
Application Deadline September 15, 2026
Exhibit space is limited and will be assigned on a first-paid, first-served basis after convention sponsors have selected booth space. Payment must be made before booth(s) are assigned.
All exhibit space applications must be submitted through the NCA online exhibitor portal. Applications submitted by other means will not be processed until confirmed in writing by NCA. Applications must be received no later than September 15, 2026.
NCA reserves the right to accept or reject any application. Acceptance of an exhibit application does not imply an endorsement of the exhibitor or their products or services.

Exhibitors may access the exhibit hall prior to the official opening to attendees on the following days. Early access requires a valid NCA exhibitor badge and is coordinated through the Exhibitor Check-In Desk.

No exhibit may be erected after the exhibit hall opens to attendees, nor dismantled before the official closing time. At 1:00 PM on Saturday, November 21, NCA will make a formal announcement confirming the official close of the exhibit hall. Exhibitors are strictly prohibited from vacating their space or dismantling any portion of their booth — including packing materials or removing items — until that announcement has been made. Violations of this policy may negatively impact the exhibitor's eligibility to participate in future NCA conventions.
It is the exhibitor's responsibility to ensure all materials are delivered to Freeman Exposition Services or the hotel shipping center. Failure to remove exhibits by the end of the dismantling window will result in NCA arranging removal at the exhibitor's expense.
Third-Party Service Companies (Exhibitor Appointed Contractors)
For all other services, exhibitors wishing to use an Exhibitor Appointed Contractor (EAC) must submit a written request to sales@natcom.org no later than 45 days prior to move-in (by October 4, 2026). The request must include the identity and intended use of the EAC, along with a certificate of insurance evidencing the following minimum coverage:
- Workers' Compensation as required by state law
- Commercial General Liability of $1,000,000
- Automobile Liability of $1,000,000 covering all owned, hired, and non-owned vehicles
NCA, Freeman, and the Venue must be named as additional insureds.
Exhibitor Badge Policy
All exhibitor representatives must wear an official NCA badge at all times, including during setup and dismantling. Badges are non-transferable and may only be used by the registered individual.
Badge registration opens upon booth assignment.

Lead Retrieval
Lead retrieval services are available through ExpoBadge, the official lead retrieval provider for the NCA 112th Annual Convention. Exhibitors may order the ExpoBadge mobile application or compatible scanning equipment directly at orders@expobadge.com or online using code NCA2026.
Furnishings and Space
The exhibit hall is carpeted. Furniture, carpeting, draping, accessories, signs, electrical outlets, and all other furnishings must be arranged through Freeman Exposition Services at the sole expense of the exhibitor.
Venue-Specific Rules and Regulations
Exhibitors are required to comply with all New Orleans Marriott facility rules and regulations in addition to these NCA exhibit rules. Venue-specific requirements — including prohibited items, electrical standards, and facility policies — will be detailed in the Exhibitor Service Kit distributed by Freeman Exposition Services prior to the convention.
Health and Safety
NCA will communicate any health and safety protocols in effect at the time of the convention. Exhibitors and their representatives must comply with all health and safety requirements issued by NCA, the New Orleans Marriott, the City of New Orleans, and applicable federal or state authorities. Requirements will be distributed through the Exhibitor Service Kit and via direct communication to confirmed exhibitors closer to the convention date.
Exhibit Standards
Acceptability of Exhibits
All exhibits shall serve the interest of NCA and shall be operated in a way that does not detract from other exhibits or the convention. NCA reserves the right to:
- Restrict exhibits which detract from the general character of the display or convention.
- Deny exhibit space to any exhibitor whose content or intention is inconsistent with NCA's goals and objectives.
- Require the immediate withdrawal of any exhibitor deemed injurious to NCA's purpose.
NCA is not liable for any refunds of rentals or other exhibition expenses in cases of required withdrawal. No exhibit will be permitted that violates any municipal, state, or federal law, rule, regulation, or safety code.
Verbal announcements, audio recordings, video presentations, or other attention-getting devices are prohibited if objectionable to NCA or adjacent exhibitors.
Exhibit Booth Staffing
All booths must be staffed by at least one exhibitor representative during all official exhibit hall hours. At no time during official exhibit dates and hours should a booth be left unstaffed. Neither NCA nor the New Orleans Marriott is responsible for items removed from unstaffed booths.
Display Height and Sight Lines
Maximum display height is determined by the ceiling height of the assigned booth section. Exhibitors should confirm their booth's ceiling clearance with Freeman prior to constructing displays taller than 8 feet. Hanging signs are not permitted without prior written approval from NCA and Freeman.
Displays, signage, and structures must be arranged to maintain adequate sight lines to neighboring exhibitors. Tall or opaque display elements must be positioned toward the back of the booth and may not be placed in a manner that obstructs neighboring booths or aisle visibility. NCA reserves the right to require repositioning of any display element that obstructs sight lines or violates aisle clearance requirements.
Digital and Technology Exhibits
Exhibitors using digital displays, software demonstrations, or audio/video equipment must observe the following:
- Audio from demonstrations must not exceed a level audible beyond the exhibitor's own booth space.
- Screen sizes and display structures must not exceed booth height restrictions or obstruct neighboring booths.
- Wi-Fi and internet access are available through the hotel. Exhibitors requiring dedicated bandwidth or hardwired connections must arrange these directly with the hotel and Freeman.
- Exhibitors are solely responsible for ensuring that all software, platforms, and content demonstrated comply with applicable intellectual property, licensing, and data privacy laws. NCA assumes no responsibility for third-party content displayed or distributed from exhibitor booths.
Use of Exhibit Space
Exhibitors may not assign, sublet, or permit others to occupy or share their exhibit space without prior written consent from NCA. Organizations wishing to co-exhibit or share space must submit a written request to sales@natcom.org at least 30 days prior to the convention. No individual, firm, or organization that has not contracted with NCA for space may display products, solicit orders, or distribute materials at the convention. Violations will result in prompt removal.
Canvassing, soliciting, demonstrating, and/or the distribution of advertising or promotional materials is restricted to the exhibitor's assigned booth space inside the exhibit hall. Exhibitors may not canvass, solicit, or distribute materials in any area of the New Orleans Marriott outside the exhibit hall — including hotel meeting rooms, hallways, or other areas — without prior written approval from NCA. Aisles must be kept clear at all times. Any activity that causes attendees to congregate in aisles or adjacent booths will be curtailed.
No activities contrary to law or convention rules are permitted. Exhibitors may not serve or dispense food or beverages from their booth without prior written approval from NCA. All food and beverage service must be catered by the hotel.
- All construction material must conform to standard safety practices.
- All display material and decorations must be flame retardant.
- No combustible decorations may be used at any time.
- All packaging containers must be removed from the floor.
- All electrical equipment must be in good operating condition and meet local safety codes.
- Displays are subject to inspection by the exhibit facility, NCA Exhibit Manager, and local fire department.
Prohibited Decorations and Materials
The following items are prohibited in the exhibit hall. Exhibitors that fail to comply are responsible for all costs associated with cleanup or removal:
- Helium balloons and helium tanks
- Open flame devices (candles, lighters, sparklers)
- Compressed gases
- Confetti and glitter
- Fog, haze, or smoke machines
- Flammable liquids and aerosols
- Lasers
- Pyrotechnics
- Adhesive-backed stickers or decals of any type
- Streamers, straw, or similar flammable paper items
- Propane, butane, acetylene, or other flammable/explosive materials
- Hazardous materials or chemicals
Additional venue-specific restrictions will be communicated through the Exhibitor Service Kit. Fire retardancy certificates for drapes, curtains, carpeting, and similar materials must be available onsite upon request.
Giveaways and Promotional Items
Exhibitor giveaways are permitted within the exhibitor's assigned booth space. Giveaway items may not include any item prohibited by NCA or the New Orleans Marriott (including stickers, decals, or balloons). Food or beverage giveaways require prior written approval from NCA. Giveaway items may not be distributed in aisles or areas outside the exhibitor's assigned booth.
Contests, Raffles, and Games of Chance
Exhibitors may not conduct contests, lotteries, raffles, or games of chance without obtaining prior written approval from NCA. Requests must be submitted to sales@natcom.org no later than 45 days prior to move-in (by October 4, 2026). Requests submitted after this deadline will not be approved, without exception.
All approved activities must comply with applicable Louisiana state law, including any applicable raffle or gaming statutes. NCA assumes no responsibility for the administration, prizes, or legal compliance of exhibitor-run promotional activities.
Booth Accessibility
Exhibitors are responsible for ensuring their booth space complies with the Americans with Disabilities Act (ADA), including maintaining accessible pathways within and adjacent to the booth, accessible table heights for demonstrations, and ensuring that interactive displays or activities are accessible to attendees with disabilities.
Personal Protective Equipment
All exhibitors, service providers, and representatives working on or within the vicinity of the exhibit floor during move-in and move-out are required to wear closed-toe footwear and comply with all applicable health and safety protocols.
Compliance Requirements
NCA requires all participating organizations to adhere to federal laws during all activities conducted in connection with the convention, including but not limited to:
- Civil Rights Act
- Age Discrimination in Employment Act
- Americans with Disabilities Act
Unions
In order to conform to union contract rules and regulations, it may be necessary for exhibitors to use qualified union personnel for installation, dismantling, and material handling within the show. It is the responsibility of all exhibitors to be aware of and abide by all applicable local union laws. Exhibitors should contact Freeman Exposition Services for guidance on applicable labor rules at the New Orleans Marriott Grand Ballroom.
Animals
Animals are not permitted in the exhibit hall except: (a) service animals for individuals with disabilities; or (b) animals specifically approved in writing by NCA and the New Orleans Marriott in conjunction with an approved exhibit. Service animals must be under the handler's control at all times. Animals whose sole function is to provide emotional support are not permitted. Any exhibit involving animals requires prior written approval from NCA and must comply with all hotel and applicable local regulations.
Operations
Food and Beverage Functions
All food and beverage functions must be catered by the New Orleans Marriott. No outside food or beverage is permitted. Exhibitor hospitality activities must not compete with any event scheduled by NCA.

Logo and Brand Usage
Exhibitors may not use the NCA logo, NCA 112th Annual Convention logo, or New Orleans Marriott logo in any public or private promotional materials without prior written consent from NCA. Use of NCA branding in exhibitor marketing — including social media, catalogs, email campaigns, or press releases — must be approved in advance by NCA.
Sales Tax Compliance
Exhibitors who sell merchandise, publications, or other products from their booth are responsible for confirming and complying with all applicable Louisiana state and local sales tax permit laws and requirements. NCA assumes no responsibility for exhibitor tax compliance. Exhibitors conducting sales transactions onsite should consult the Louisiana Department of Revenue prior to the convention for applicable requirements.
Sustainability
Exhibitors are encouraged to use recyclable, reusable, or sustainably sourced display materials. All materials, signage, and promotional items must be removed from the exhibit hall by the end of the dismantling window. Items left behind will be discarded at the exhibitor's expense. NCA encourages exhibitors to donate remaining printed materials to local schools or libraries rather than discarding them.
Photography
Any photography taken by NCA may be used in publicizing NCA and NCA events, including the convention. By exhibiting, the exhibitor consents to the use of such photography, including images or likenesses of the exhibitor and its employees and representatives. Exhibitor consent to NCA photography is documented at the time of application.
Cancellation Written notice required
Written cancellation notice must be submitted to sales@natcom.org. All refunds are subject to a $100 processing fee.
No-Shows No refund issued
If an exhibitor fails to install a display in their assigned space, fails to staff the space, fails to pay rent, or fails to comply with any provision of this agreement, NCA shall have the right — without notice — to take possession of said space and lease it to other parties. A booth is considered "installed" only when display materials are physically set up in the assigned space. No refund will be issued for no-shows.
Hosting a Reception or Meeting?
NCA offers private event spaces at the New Orleans Marriott and Sheraton New Orleans for exhibitors, sponsors, and other organizations hosting receptions, meetings, or networking events during the convention.
Security, Liability & Legal
Security
The exhibit hall will be locked each day following the completion of scheduled hours, and security will be provided when the hall is closed. It is understood that security offers no guarantee against theft, pilferage, robbery, vandalism, or any loss or damage to property.
Damage to Exhibit Facilities
The exhibitor must surrender their space in the same condition as at the commencement of occupation. Neither the exhibitor nor their agents may injure or deface the walls, columns, floors, booth, equipment, or furniture. When such damage occurs, the exhibitor will be responsible for paying all resulting costs.
Liability
The exhibitor is fully responsible and liable for any claims, liabilities, losses, damages, or expenses relating to injury, property loss, or damage arising from their attendance or participation in the convention. The exhibitor agrees to defend, hold harmless, and indemnify the Exhibit Facility, NCA, and NCA's officers, directors, employees, volunteers, and representatives from any and all claims — including third-party infringement claims, losses, damages, costs, and attorneys' fees — arising from the acts, omissions, negligence, or willful misconduct of the exhibitor or its agents.
NCA cannot assume responsibility for the safety of exhibitor property. Exhibitors wishing to insure their property must do so at their own expense. It is strongly recommended that representatives be present at all times the exhibit is open, and especially during set-up and dismantling.
Insurance
Neither NCA nor the Exhibit Facility maintains insurance covering exhibitor property. Exhibitors and individual installation and dismantling companies must carry:
NCA and the exhibit facility owner must be listed as additional insureds on all policies. All agents or representatives performing services at the exhibit facility on behalf of an exhibitor must provide NCA with original certificates of insurance.
Floor Load
Any equipment or displays that may exceed the venue's floor load limit must be pre-approved by NCA in writing prior to move-in. Contact sales@natcom.org for pre-approval requests.
Licenses
The exhibitor agrees to comply with all federal, state, and local laws and ordinances for any activities conducted in connection with the convention.
Remedies
In the event of a breach of this agreement, NCA may avail itself of any and all legal and equitable remedies, including but not limited to: recovering damages, seeking injunctive relief, terminating this agreement, revoking exhibitor priority points, removing the exhibitor and its attendees from the convention, and/or barring the exhibitor from future conventions. NCA shall be entitled to recover all costs and expenses, including attorneys' fees, incurred in enforcing this contract.
Governing Law and Forum
This contract shall be construed and administered in accordance with the laws of the District of Columbia, excluding its conflicts of law principles. Any claim or cause of action arising out of or connected with this contract shall be brought exclusively in the local or federal courts of the District of Columbia.
Force Majeure
In the event the exhibit facility or any part thereof is unavailable due to strike, lockout, labor dispute, act of God, governmental restriction, civil disturbance, fire, or any other condition beyond NCA's reasonable control — or should NCA decide in its reasonable discretion to cancel, postpone, or re-site the convention — NCA shall not be liable to the exhibitor for any direct or indirect damage or loss arising from such occurrence. The exhibitor's sole claim against NCA in such a case shall be for a refund of rent paid for the period the exhibitor was prevented from using the space.
