Conference Policies

Code of Conduct and Behavior Policies
We value the participation of each member of the NAN community and want all attendees to have an enjoyable and fulfilling experience. Accordingly, all attendees, guests, speakers, exhibitors, and volunteers are expected to show respect and courtesy to others at all times. All communication and behavior, in-person, online, or otherwise, should be appropriate for a professional environment. Those violating these rules may be asked to leave the conference with or without a refund at the sole discretion of the National Academy of Neuropsychology.

Health and Safety
We invite all attendees, sponsors, speakers, exhibitors, volunteers and other participants to help NAN realize a safe and positive conference experience for everyone. The Annual Conference will be organized in accordance with the latest health and safety regulations, guidelines, and recommendations, as directed by the Center for Disease Control and Prevention (CDC), and the local Austin Public Health Department.

In-Person Conference Policy
NAN asks attendees:
  • Respect the requests of NAN and hotel employees.
  • Comply with foot traffic management guidance, including signage, conference volunteer directions, floor markings, entrance and exit signs, and other direction as required.
We expect all in-person participants (including NAN employees, moderators, attendees, vendors, sponsors, speakers, and volunteers) to uphold the principles of this Code of Conduct. This Code of Conduct covers the in-person event and all related events (social or otherwise).

NAN reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and NAN reserves the right to prohibit attendance at any future meeting, virtually or in person. NAN has zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you experience harassment or hear of any incidents of unacceptable behavior, NAN asks that you inform our staff so that we can take the appropriate action.


Cancellation Policy
NAN recognizes that sometimes plans change and you may need to cancel your conference registration. To address such situations, we have established the following cancellation and refund policy:

Cancellation Requests:
All cancellation requests must be submitted in writing to office@nanonline.org, including an explanation for the cancellation. Cancellations will not be accepted by phone.

Refund Policy:
On or Before August 30, 2024 
•    A 50% refund of the registration fee will be issued.

After August 30, 2024:
•    No refunds will be issued for cancellations made after this date.

On-Site Cancellations:
•    No refunds will be issued for cancellations made on-site during the conference or for no shows.

Transfer of Registration:
•    Please note that registrations are personal and non-transferable. Once purchased, the registration cannot be transferred to another individual under any circumstances.

Requests for exceptions must be submitted in writing with appropriate documentation to office@nanonline.org. Such requests will be reviewed on a case-by-case basis, and NAN reserves the right to deny any exceptions.

NAN does not assume responsibility for any additional costs, charges, or expenses; to include, charges made for travel and lodging. Canceling your registration will not automatically cancel your housing reservation. To cancel your hotel room(s), please contact the JW Marriott Austin directly. NAN will not reimburse cancellation or no-show fees charged by the hotel.


No-Shows
If you do not request a cancellation in writing by August 30, 2024, and do not attend, no refund will be granted. 

Guests of Attendees at In-Person Conference
Guest badges are available for purchase during the registration process. Badges for adults are $75 and children are $25. A guest badge permits access to the food and beverage functions at the Annual Conference, including continental breakfast on Wednesday, Thursday, Friday, and Saturday, as well as the Presidential Welcome Reception on Wednesday evening and Reception on Thursday evening. Guest badges for adults and children do not permit access to conference sessions or the exhibit hall outside of the designated reception time. Guests without a badge will be asked to leave. Guests are also expected to abide by the Code of Conduct and Behavior Policies, as well as Health and Safety Guidelines.

Course Handouts
Course handouts will be distributed to attendees electronically prior to the conference. No printed course handouts will be distributed at course sessions. If a handout does not appear online, the presenter has not granted NAN permission to share their handout.

Badge Policy
After checking in at the Conference Registration desk, your badge is your pass to all scheduled conference activities. You must wear your badge to be admitted to workshops, the exhibit hall, and poster sessions. You will be denied entry if you do not display your badge.

Photo Release and Consent Statement
Please note: Your registration for a National Academy of Neuropsychology program includes your acceptance and agreement to the following photo release and consent statement:

I give permission to the National Academy of Neuropsychology to take photographs of me while I am engaging in neuropsychology education workshops. I also grant the right to edit, use and re-use said products for any and all educational, public service, marketing and outreach purposes selected by the National Academy of Neuropsychology. I release any and all rights, titles and interest I may have in said photographs, movies, video tapes, web-site productions, finished pictures, reproductions, copies or negatives of the same in connection with such uses.


Ethics & Diversity Content
The APA does not accredit CE sessions as ethics or diversity sessions per se, nor does NAN as an APA CE provider. Whether a CE session meets requirements for ethics or diversity training is a distinction made by state authorities regulating the practice of psychology who require on-going ethics or diversity training for license renewal. It is typical for such regulators to require that ethics or diversity training be received in a CE-accredited session (NAN is an APA CE provider) and then to examine the content of the specific CE session to make sure that it meets their requirements for ethics or diversity training. Consequently, NAN recommends that attendees consult with their individual regulatory authority in advance if ethics or diversity credit is desired.
